Job Overview:
We are seeking a skilled and dedicated Office and Personal Assistant to support our CEO, Victoria, in managing her day-to-day activities. This role requires a proactive, organised, and resourceful individual who can handle a wide range of administrative tasks efficiently.
The Office and Personal Assistant will work closely with Victoria, providing essential support to ensure the smooth running of her schedule, office, and personal responsibilities.
This role is offered on a freelance basis through Access To Work funding. Candidates do not need to have any knowledge of Access To Work to apply for the role.
The hours are flexible, to be split across Monday, Tuesday, Thursday and Fridays. Some evenings may be required to support press/ fashion/ networking events. A driving licence is required.
Responsibilities:
Diary and Inbox Management:
Efficiently manage and organise Victoria's diary, ensuring appointments, meetings, and events are scheduled effectively.
Prioritise and filter emails, responding on behalf of Victoria when necessary.
Travel Planning:
Arrange and coordinate travel logistics, including flights, accommodations, and transportation for business trips.
Prepare detailed itineraries and ensure all travel arrangements are well-organised.
Social Media Support:
Assist with social media management, including content creation, scheduling posts, and engaging with followers on various platforms.
Collaborate with the marketing team to maintain a consistent brand voice and image across social media channels.
Office Set-up and Organization:
Maintain a well-organised and efficient office space, ensuring supplies are stocked, equipment is functioning, and paperwork is properly filed.
Collaborate with relevant stakeholders to improve office processes and implement organisational systems.
Event Support:
Coordinate and assist in the planning and execution of various events, including shareholder meetings, photoshoot days, and London Fashion Week activities.
Assist with logistics, guest coordination, and on-site support during events.
Personal Support:
Support Victoria with health admin (taking breaks, taking medication, ensuring prescriptions are ordered on time etc.)
Running physical errands as needed.
Assisting with travel to and from home if there are extra bags Victoria needs help managing.
Requirements:
Knowledge of disability, neurodiversity and inclusive practice.
Proven experience as an Office or Personal Assistant.
Excellent organisational skills with the ability to multitask and prioritise effectively.
Strong written and verbal communication skills.
Proficient in using productivity tools such as Microsoft Office and Google Suite.
Familiarity with social media platforms and basic content creation skills.
Detail-oriented with a high level of accuracy in administrative tasks.
Ability to maintain confidentiality and handle sensitive information with discretion.
Flexibility to work a mix of in-person and remote hours as required.
